WhatsApp Agent

What is the WhatsApp Agent

An AI assistant that answers your users on your organization's WhatsApp number, with human supervision and strict rules.

The WhatsApp Agent is an AI assistant that answers your users on your organization’s WhatsApp number, around the clock. It handles the repetitive everyday questions — account status, cafeteria menu, attendance, receiving payment receipts — and hands over to a person on your team everything a machine should not resolve.

  • Answers frequent questions with the information you load (dates, schedules, requirements).
  • Understands voice notes and photos: it transcribes the customer’s audio messages and recognizes the product in a photo (or the products in a prescription) to look it up in your catalog.
  • Quotes from your catalog: it answers prices with the current price list of your products and services — never from memory — and sends photos or your PDF catalog.
  • Takes orders and quotes delivery according to your zones and rates (orders and delivery).
  • Books appointments if you have bookable services: it offers available times, books, reschedules and sends reminders (appointments over WhatsApp).
  • Looks up real Inspow data for the verified user: their account status and pending invoices, the published menu, their beneficiaries’ attendance records.
  • Receives payment receipts as a photo or PDF and registers them for your team to approve — the agent never approves payments.
  • Hands the conversation to a person when the user asks for it or when the topic requires it (discounts, payment agreements, complaints, health questions, special cases).

Your team can also send campaigns with approved templates and, if you enable it, take WhatsApp calls from the console.

These rules are structural: they do not depend on configuration and nobody can turn them off.

RuleWhat it means
Never makes up figuresEvery amount the agent mentions comes from a direct system query. If a reply contains a figure that did not come from the data, sending is blocked and the conversation goes to a human.
Does not hand personal data to strangersBefore showing account status, attendance or any personal data, it verifies the user’s identity (how verification works). If you enable public mode, anyone can browse the catalog and prices and place orders without verifying, but personal data still requires verification.
Special requests always go to a personThe agent does not promise, forgive debts, or authorize discounts or agreements. Those conversations are escalated to your team, always.
Respects the word BAJA (unsubscribe)If a user writes BAJA, the agent stops replying to them immediately and it is recorded (Colombian data protection Law 1581).
Has a usage capInspow sets your organization’s monthly AI usage cap. At 80% your team gets an alert; at 100% the agent stops reasoning and hands everything to your team.

The agent starts supervised and earns autonomy when it proves quality:

  1. Shadow mode (initial, on by default): the agent prepares every reply but does not send it — someone on your team reviews it in the console and approves, edits or discards it.
  2. Autonomous with escalation: the agent replies on its own, and special requests keep going to your team (that never changes). The switch lives in Behavior; the edit rate tells you when to take the step.
  • Activation by Inspow: the agent is an optional module; contact us to enable it for your organization.
  • Your own WhatsApp Business number, registered on Meta’s platform (connect the number).
  • A payment method in WhatsApp Manager: Meta bills certain messages directly to your organization (see below).
  • Your catalog loaded in the Products module, if you are going to sell or take bookings (price list).
  • People with the right roles: wa-admin configures everything and operates the console; wa-supervisor operates the console (review, approve, take over conversations). Assign them like any other role in Roles & permissions.
  • WhatsApp messages: conversations started by the user and answered within the 24-hour window are free. Only template messages sent outside that window have a (very low, per-message) cost, which Meta bills directly to your organization’s payment method in WhatsApp Manager. An organization that only answers inbound messages can pay $0.
  • Artificial intelligence: the agent’s AI usage is bounded by a monthly cap with automatic cutoff (and, depending on your plan, a conversation quota) set by Inspow (how it works).
  1. Connect the WhatsApp number
  2. Configure behavior, knowledge and tools
  3. Load the price list
  4. Operate the supervision console
  5. Understand verification and privacy
