WhatsApp assistant
Talk to your organization's assistant on WhatsApp — check your account, the menu and attendance, or ask for a person.
If your organization has it enabled, you can write to its official WhatsApp number and a virtual assistant replies instantly, at any time. There are always people from the team supervising behind it.
The first time: privacy notice and verification
Section titled “The first time: privacy notice and verification”In your first message, the assistant sends you the organization’s privacy notice. Then, to protect your information, it confirms that the number you are writing from is yours:
-
Write any message to your organization’s WhatsApp number.
-
If your mobile is already registered on your account, you are verified instantly.
-
If not, the assistant will ask for your account email and send a 6-digit code to that address. Type the code in the chat (you have 10 minutes and 3 attempts).
-
Done — you will not have to repeat it, unless you change numbers.
What you can ask
Section titled “What you can ask”It depends on what your organization has enabled, but typically:
- “How much do I owe?” / “Am I up to date?” — your account status and pending invoices.
- “What’s for lunch tomorrow?” — the published menu.
- “Did my kid attend today?” — your beneficiaries’ attendance records (it is the cafeteria service record, not academic attendance).
- “How much is…?” — the current price of a product or service, and its photo or the catalog if you ask for it.
- Frequent questions — schedules, dates, requirements: whatever your organization has loaded.
You can type or send voice notes: the assistant understands them. You can also send a photo of a product (or of a prescription) to ask about it.
Placing an order
Section titled “Placing an order”If the organization sells over WhatsApp, ask the assistant for what you need:
- It confirms the products and their prices and, if you ask for delivery, it asks for your municipality and address to quote shipping.
- You choose how to pay (cash, bank transfer or card terminal, depending on what the organization accepts).
- The assistant registers your order with a number and lets you know the team will verify it.
- You usually get a message when the order is confirmed and when it goes out for delivery, with the day it will reach you.
Sending a payment receipt
Section titled “Sending a payment receipt”You can send the photo or PDF of your deposit or transfer in the same chat:
- Send the image or document.
- The assistant shows you which invoice it belongs to and asks you to confirm before registering anything.
- Your receipt is under review: a person from the team approves it, and you get the usual notification.
Booking appointments
Section titled “Booking appointments”If the organization has booking enabled, you can request an appointment right in the chat: the assistant shows you the available times, you book the one that works and you get a WhatsApp reminder within the 24 hours before the slot. You can also ask it to reschedule or cancel an existing appointment.
If the organization has calls enabled, you can call its WhatsApp and a person from the team answers; if nobody can take it, you can leave a voice message. The organization can also ask for your permission to call you: you get a message with the option to accept, and they only call you if you authorize it.
Talking to a person
Section titled “Talking to a person”Ask at any time “I want to talk to someone” (or similar) and the assistant will hand your conversation to the organization’s team. The same happens automatically with requests the assistant must not resolve: discounts, payment agreements, complaints or special cases.
Stop receiving messages
Section titled “Stop receiving messages”Write BAJA and the assistant will stop writing to you immediately. If you later want to reactivate it, write again and confirm with SÍ.
Delete your data
Section titled “Delete your data”If besides opting out you want all your information removed (messages, appointments, history), write ELIMINAR — it works even if you are already opted out. You can also request it at any time by writing “borra mis datos” (delete my data). Because deletion is permanent and cannot be undone, the assistant will ask you to confirm once more before running it.
Some organizations limit the assistant’s service hours. Outside those hours you will get a message saying so, and your query will wait for business hours.
